This policy explains how Orentincars ("we", "us") collects, uses, stores and protects personal information when you book a vehicle, use our rental management platform, or otherwise interact with us. It applies to customers, staff, partners and anyone whose information we handle through this platform.

1. Information we collect

  • Identity and contact details — name, phone number, email address and postal address you provide when registering or booking.
  • Identity documents — driving licence and other proof of identity, including any photograph or scan you or our staff upload, where required to verify eligibility to rent a vehicle.
  • Booking and rental records — reservations, delivery and return details, extensions, vehicle condition and inspection notes, and traffic challans associated with your rental.
  • Payment records — amounts, payment method (cash, bank account or credit), security deposits and invoices. We record the transaction, not your full card details.
  • Vehicle location data — where a vehicle is fitted with a GPS tracking device, location and trip data for that vehicle during the rental period.
  • Account and usage data — your username, login timestamps, actions recorded in our activity log, and technical information such as IP address and browser type.
  • Staff and partner data — where you work with us, employment or partnership records such as attendance, payroll and payout information.

2. How we use your information

  • To create and manage your account and verify your identity.
  • To process bookings, deliveries, returns, extensions, deposits and payments.
  • To contact you about your booking — confirmations, reminders, payment or return notices.
  • To protect our vehicles against theft, misuse and unreturned rentals, and to recover them.
  • To handle traffic challans, damage claims, insurance matters and disputes.
  • To meet legal, tax and regulatory obligations, and to keep internal accounting records.
  • To maintain the security of the platform and investigate suspected fraud or misuse.
  • To improve our services and reporting. We do not sell your personal information.

We process your information where it is necessary to perform the rental agreement with you, where we have a legal obligation (such as tax or law-enforcement requirements), where we have a legitimate interest in protecting our vehicles and business, or where you have given us your consent. Where processing relies on consent, you may withdraw it at any time.

4. Sharing and disclosure

We share personal information only where necessary, and only with:

  • Our staff and authorised partners, limited to what their role requires.
  • Service providers who operate on our behalf — hosting, communications, payment processing and GPS tracking providers — under obligations of confidentiality.
  • Insurers, and law-enforcement or government authorities, where required by law or to establish, exercise or defend legal claims.
  • A successor entity, if our business is transferred or reorganised.

We do not sell or rent your personal information to third parties for marketing.

5. Vehicle tracking

Some of our vehicles carry GPS tracking devices. Tracking relates to the vehicle and is used to protect our property, assist with recovery, support roadside assistance and resolve disputes about the use of a vehicle. Location data is accessed by authorised personnel only, and is not used to monitor you outside the rental period. Ask us before you book if you would like to know whether a particular vehicle is tracked.

6. How long we keep it

We keep personal information for as long as your account is active and for as long afterwards as we need it to complete a rental, settle payments, meet accounting and tax record-keeping requirements, or defend legal claims. When it is no longer needed, we delete it or anonymise it.

7. Security

Access to the platform requires an account, passwords are stored only as salted hashes, and access to records is restricted by role and permission. Administrative actions are recorded in an activity log. No system can be guaranteed completely secure, but we take reasonable technical and organisational measures to protect your information, and we will notify you and the relevant authority of a breach where the law requires it.

8. Your rights

Subject to local law, you may ask us to:

  • Give you a copy of the personal information we hold about you.
  • Correct information that is inaccurate or incomplete.
  • Delete information we no longer have a lawful reason to keep.
  • Restrict or object to certain processing, or withdraw consent you have given.
  • Stop sending you marketing messages.

9. Cookies and sessions

We use cookies that are necessary for the platform to work — to keep you signed in, to remember your session, and to support the "remember me" option if you choose it. We do not use advertising cookies. You can clear or block cookies in your browser, but signing in will not work without the essential ones.

10. Children

Our services are intended for people old enough to hold a valid driving licence and enter into a rental agreement. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. The revision date at the top of this page shows when it was last changed, and material changes will be communicated through the platform or by email where appropriate.
